CRM Data Backup & Restore includes a 3-stage duplicate detection engine (rolling out) that runs during backup scans. Stage 1 (deterministic) matches on exact email, phone, and domain. Stage 2 (fuzzy) uses name similarity and other heuristics. Stage 3 (advanced matching with web verification, Growth plans and above) evaluates ambiguous pairs and verifies company matches with live web search. Duplicates are flagged for review so you can merge them safely with backup protection.

Yes. All paid CRM Data Backup & Restore plans include Emergency Unmerge operations monthly: 10 on Starter, 25 on Growth, 50 on Pro, 200 on Enterprise. Additional operations are available at standard credit rates. Emergency Unmerge is our sister product that reconstructs records after a merge, even without a pre-merge backup.

Backup frequency depends on your plan. Free: monthly scans. Starter and Growth: weekly scans. Pro and Enterprise: daily scans. Each scan captures the current state of all your records within your plan's record limit.

Yes, partially. HubSpot's native Backup & Restore tool (Settings > Data Management) requires a paid subscription: Starter and Professional portals can back up once per week, Enterprise once every 24 hours, and only Enterprise can schedule recurring backups, weekly or biweekly. Native backups download as CSV files and exclude associations and activity data, per HubSpot's documentation (checked July 1, 2026), and under HubSpot's DPA, backing up your data is your responsibility, not HubSpot's. Deleted records are restorable from HubSpot's recycle bin for up to 90 days, and the Restore CRM changes tool (Starter and above) can roll records back within the last 14 days. None of these tools can reverse a merge; HubSpot's own knowledge base states it's not possible to unmerge records. No. HubSpot's own knowledge base states plainly: "It's not possible to unmerge records." There is no unmerge or demerge action for contacts, companies, or deals once a merge completes, and HubSpot Support has no documented path to reverse one either. If your plan expires or you downgrade to Free, your backup history is trimmed to the Free plan's 7-day retention window, and the most recent backup of each record is always retained. New scans follow the Free plan schedule (monthly). You can still perform up to 3 restores per month. Upgrading again restores full access immediately.

Yes. CRM Data Backup & Restore uses HubSpot's OAuth security model and only requests the scopes needed to perform backups and duplicate detection. Data is encrypted in transit (TLS) and the database runs on infrastructure with disk-level encryption. Application-layer encryption of backup contents is being rolled out. OAuth tokens are encrypted at the application layer today. We never store your full CRM data beyond your plan's backup retention period. CRM Data Backup & Restore is proactive CRM backup and data protection: it keeps dated backups of your records and detects duplicates so you can merge safely, and it recovers merges done in HubSpot from your backups. Emergency Unmerge is reactive merge recovery: it reconstructs records after a bad merge has already occurred, even without backups. If a record was merged multiple times (e.g., Record A merged into B, then B merged into C), CRM Data Backup & Restore tracks the full chain. When you restore, you can separate any or all records in the chain. The backup captures the state at each point, so even complex merge histories can be fully reversed.
