What is CRM backup and recovery? +

CRM backup and recovery means your HubSpot records are automatically backed up on a schedule (monthly, weekly, or daily depending on your plan). If a merge done through CRM Data Backup & Restore goes wrong, you can restore it with one click and get a full restore of every property and association captured in your pre-merge backup. There is also recovery for merges done in HubSpot itself, which rebuilds the absorbed record and clears survivor contamination. For app-based merges, no reconstruction is needed, just a clean restore from the backup. CRM Data Backup & Restore provides automated backup and recovery for contacts, companies, and deals. Think of it as standing backup protection for your CRM data.

Can I undo a merge? +

Yes. CRM Data Backup & Restore gives you one-click restore for merges done through the app, plus recovery for merges done in HubSpot itself. If a record was backed up before the merge, restore returns the original record from the pre-merge backup, giving you a full restore of every property and association captured. For merges done in HubSpot, recovery rebuilds the absorbed record and clears survivor contamination. Free plan users get 3 restores per month. All paid plans include unlimited backup restores.

What record types are supported? +

CRM Data Backup & Restore supports contacts, companies, and deals in HubSpot. All three record types are covered by automated backups and one-click restore, with duplicate detection rolling out.

How It Works

How do automated backups work? +

CRM Data Backup & Restore runs automated backups on a schedule (monthly, weekly, or daily depending on your plan) and records a complete backup of every record's properties and associations, including association labels and engagement IDs. These backups are stored securely and used to provide instant restores if a bad merge happens. Backups are retained for 7 to 365 days depending on your plan.

Does HubSpot back up your data automatically? +

Not on every plan, and not completely. HubSpot's native Backup & Restore tool (Settings > Data Management) requires a Starter subscription or above: Starter and Professional portals can back up once per week, Enterprise can back up once every 24 hours, and only Enterprise can schedule recurring backups, weekly or biweekly only (per HubSpot's documentation, checked July 1, 2026). Native backups download as a .zip of CSV files available for just 14 days, and they exclude associations and activity data. Under HubSpot's Data Processing Agreement, backing up your data is your responsibility, not HubSpot's; HubSpot's own platform backups exist for infrastructure redundancy, not as a per-account restore service. HubSpot's separate Restore CRM changes tool only rolls records back within the last 14 days. How does duplicate detection work? +

A 3-stage duplicate detection pipeline is rolling out. Stage 1 finds exact matches on email, phone, and domain. Stage 2 applies fuzzy matching on names and other fields. Stage 3 (Growth plans and above) uses advanced matching to evaluate ambiguous pairs with live web search verification. This is designed to reduce false positives and catch duplicates that simple matching would miss.

How does chain merge support work? +

If a record was merged multiple times (e.g., Record A merged into B, then B merged into C), CRM Data Backup & Restore tracks the full chain. When you restore, you can separate any or all records in the chain. The backup captures the state at each point, so even complex merge histories can be fully reversed.

Do paid plans include Emergency Unmerge? +

Yes. All paid CRM Data Backup & Restore plans include Emergency Unmerge operations each month (10 on Starter, 25 on Growth, 50 on Pro, 200 on Enterprise). Emergency Unmerge is our sister product that reconstructs records after a merge, even without a pre-merge backup. Paid CRM Data Backup & Restore subscribers get this at no additional cost, no credits needed.

What happens when my plan expires? +

If your plan expires or you downgrade to Free, your backup history is trimmed to the Free plan's 7-day retention window, and the most recent backup of each record is always retained. New scans follow the Free plan schedule (monthly). You can still perform up to 3 restores per month. Upgrading again restores full access immediately.

What will the charge look like on my credit card? +

Subscription charges appear on your card statement as "Services - Third Space" or "SERVICES - THIRD SPACE". Third Space, LLC is the company behind CRM Data Backup & Restore.

Data & Security

Is my data safe? +

Yes. CRM Data Backup & Restore uses HubSpot's OAuth security model and only requests the scopes needed. Data is encrypted in transit. The database runs on infrastructure with disk-level encryption, and application-layer encryption of backup contents is being rolled out. OAuth tokens are encrypted at the application layer today. Duplicate detection uses Anthropic's Claude, which does not use your data for training. We never store your full CRM data beyond the backup retention period of your plan. How long does HubSpot keep deleted records? +

90 days. Deleted contacts, companies, deals, and other records go to HubSpot's recycle bin and can be restored for up to 90 days via Actions > Restore records on each object's index page (per HubSpot's documentation, checked July 1, 2026). The restore tool displays and restores up to 10,000 records at a time. GDPR and other permanent deletes skip the recycle bin entirely and cannot be restored at all. After the 90-day window, HubSpot states the data cannot be recovered, and its documentation describes no way for HubSpot Support to bring it back. HubSpot Merges & Recovery Limits

Can you unmerge records in HubSpot? +

No. HubSpot's own knowledge base states plainly: "It's not possible to unmerge records." There is no unmerge or demerge action for contacts, companies, or deals once a merge completes, and HubSpot Support has no documented path to reverse one either. If a pre-merge backup exists, CRM Data Backup & Restore by Third Space restores the record with one click. Can you roll back changes in HubSpot? +

Yes, within limits. HubSpot's Restore CRM changes tool (Settings > Data Management > Backup & Restore) rolls records back up to 14 days, undoing changes made by workflows, imports, or manual property edits, and only one change type can be restored per operation. It does not restore deleted records, and it cannot reverse a merge. For anything older than 14 days, recovery needs a backup taken before the change, which is what CRM Data Backup & Restore by Third Space provides.

Can HubSpot Support reverse a merge? +

No. HubSpot's documentation describes no path, through Support or otherwise, to reverse a completed merge. The 90-day restore window covers deleted records only, and a merge is a distinct action from a deletion, so it does not apply. Once two records are merged, the secondary is absorbed into the primary and is not recoverable through the normal restore flow.
